Overview

Predictable Support for Systems Your Training Depends On

Once a training website and LMS are live, the work does not stop. Plugins need updating, courses need adding, learners get locked out, integrations drift, and someone has to notice when backups stop running. Without a plan, that work lands on whichever staff member knows the most, usually in between their actual job.

KeyStone managed support gives that work a clear owner. Each plan is written around your systems, with the coverage, response expectations and monthly effort agreed in advance. You get a team that already knows your setup, and a monthly report showing what was done.

What a Support Plan Covers

Plans combine routine care with responsive help. Routine work happens on a schedule whether or not anything is wrong. Responsive work is triggered by a request from your team or an alert from monitoring.

The mix depends on your setup. A provider with a WordPress site and an LMS plugin needs different attention from a continuing-education department running Moodle with single sign-on.

  • Scheduled WordPress, plugin and LMS updates
  • Plugin compatibility testing before release
  • LMS administration, including users, courses and groups
  • Learner registration and access support
  • Uptime monitoring and integration health checks
  • Course catalog maintenance
  • Backup verification and security remediation
  • Troubleshooting and incident escalation
  • Monthly reporting

How the Contract Is Structured

We put the important terms in writing so there is no ambiguity when something goes wrong. Every plan lists the systems included, the hours during which we provide coverage, the response time for each severity class, and the number of support hours included each month.

The contract also states what is excluded and how change requests are handled. That clarity protects both sides: you know what to expect, and we can plan our team around a known commitment.

  • Included systems
  • Coverage hours and time zone
  • Severity classes and response times
  • Monthly hour allowance
  • Exclusions
  • Change-request process

Severity Levels in Practice

Not every issue is an emergency, and treating them all as one wastes effort. A typical structure separates critical issues, such as checkout down or no learners able to log in, from issues affecting some learners, routine requests like adding a course, and questions or advice.

Each class has its own response time, agreed during contracting. We are deliberate about not promising round-the-clock coverage; instead, we agree coverage hours that match when your learners and staff actually use the system, and an escalation route for critical incidents.

Change Requests and Unused Hours

Small adjustments, such as a new course page or a reporting tweak, normally fit inside the monthly allowance. Larger work, such as a new integration or a store redesign, goes through a change request with its own estimate so it does not quietly consume your support time.

Monthly reports show hours used against the allowance and list each request, so you can see whether the plan size still fits and adjust it at renewal.

      FAQ

      Managed Support Questions

Something we haven't covered? The assistant answers from this page and can book you a call.

      Do you offer round-the-clock support?

No. We agree coverage hours that match your operations and define how critical incidents are escalated, rather than promising round-the-clock coverage.

Which LMS platforms can you support?

We have direct experience supporting Canvas and Moodle. For other platforms, including WordPress LMS plugins, we assess your setup during onboarding before including it in a plan.

What if we use more hours than the allowance?

We let you know as you approach the limit. Extra work can be approved as a change request or the plan can be resized.

Can you work alongside our internal IT team?

Yes. The plan defines who handles what, so your team and ours do not duplicate effort or leave gaps.

      How is pricing set?

Each plan is quoted based on the systems included, coverage hours and monthly allowance, usually after an onboarding review.

Hi — I can help with LMS Managed Support. What's happening with your website and LMS?

Orders complete in WooCommerce, but some learners never get access to the course.

That's usually the hand-off between checkout and enrollment. Let's book a consultation — I'll just need your name and work email.
