This policy explains how KeyStone collects, uses, shares, and protects personal information across our websites, platforms, and products.
Last updated: September 21, 2026KeyStone Software LLC and its affiliates, including ZionStar Pvt. Ltd. ("KeyStone," "we," "us," or "our"), respect your privacy. This Privacy Policy describes how we handle personal information when you visit our websites, engage our services, or use our platforms, including Sublime LMS and Sublime Intelligence.
This policy applies to personal information we process as a controller — for example, information about visitors to our websites, prospective customers, and contacts at our customer and partner organizations.
When we host or process information on behalf of a customer through our platforms, we act as a processor (or service provider). In those cases, the customer's own privacy notice governs, and we process information under our agreement with them. Questions about that data should be directed to the relevant organization.
We use personal information to:
Some of our platforms include AI and intelligence features — such as engagement insights, risk detection, and copilots — that analyze data to surface recommendations. This section covers those platform features; the AI assistant on this website is described separately in Section 05.
Where these features operate on a customer's data, the customer determines the purpose, and we process it under our agreement with them. We do not use customer content to train foundation models for the benefit of other customers unless expressly agreed. AI-derived insights are intended to support human decision-making, not to make consequential decisions automatically without oversight.
Our website offers an AI assistant that answers questions about KeyStone using our published website content, points you to relevant pages, and can pass your details to our team. Using it is entirely optional — the website works normally without it.
The assistant is a general information tool, not a secure channel. Please do not enter sensitive personal information, confidential business information, or anything you would not want recorded. Its answers are drawn from our published content and may not always be complete or current — nothing it says forms a contract, quotation, or professional advice.
The live conversation is held in your browser for the duration of your visit and is cleared when you close the tab. You can start a new conversation at any time using the assistant's "Start over" control, and you can ask us to delete a stored conversation or contact request using the rights described in Section 12 or by emailing privacy@keystonehq.ai.
If you subscribe to KeyStone EdTech Insights, we collect your email address and, only if you choose to give them, your first and last name, organization, job title, organization type, preferred frequency and topics. We also record your consent — that you agreed, when, where you signed up, and the IP address and browser that submitted the form — because that consent is our legal basis for emailing you.
We use these details only to send and personalise the newsletter and to understand, in aggregate, which issues are useful. Issues may include tracked links so we can measure opens and clicks. We never sell or share subscriber details for other companies' marketing. Analytics about how the sign-up page is used do not include your email address, name or organization.
Every issue contains a one-click unsubscribe link. When you unsubscribe we stop sending immediately and keep your address on a suppression list solely so that we do not email you again; you can ask us to delete your details entirely using the contact details below.
Where applicable law (such as the GDPR) requires it, we rely on the following legal bases: performance of a contract, our legitimate interests in operating and improving our business, your consent (which you may withdraw), and compliance with legal obligations.
We use cookies and similar technologies to operate our websites, remember preferences, measure performance, and understand how our content is used. You can control cookies through your browser settings; disabling some cookies may affect functionality.
KeyStone operates across multiple regions, including the United States and India. Personal information may be processed in countries other than your own. Where required, we use appropriate safeguards — such as standard contractual clauses — for cross-border transfers.
We retain personal information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. When information is no longer required, we delete or anonymize it in line with our retention practices.
We maintain administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, but we work to protect your information and continually improve our controls.
Depending on your location, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us using the details below. You may also opt out of marketing communications at any time using the unsubscribe link or by contacting us.
Our websites and services are intended for organizations and professionals, not for children. Where our platforms are used in educational settings involving minors, the contracting institution is responsible for obtaining any required consents, and we process such data as a processor under our agreement.
We may update this Privacy Policy periodically. When we make material changes, we will revise the "Last updated" date and, where appropriate, provide additional notice. We encourage you to review this page from time to time.
